My work is grounded in professionalism, discretion, confidentiality, compassion, and deep respect for each individual client.

I maintain clear ethical boundaries and high professional standards across all of my coaching work. Sessions are approached with care, sensitivity, and respect for client wellbeing, privacy, and autonomy.

Client confidentiality is treated with the utmost seriousness, and many clients value the discreet, thoughtful, and non-judgemental nature of the work offered within the practice.

Ongoing professional development, continued study, and reflective practice form an important part of maintaining safe, thoughtful, and effective client work.

Relaxation and Hypnotherapy Recordings

My work is psychological coaching. Where relaxation or hypnotherapy techniques are relevant, these are provided as personalised audio recordings for you to use in your own time and under your own supervision — never as live trance work within a session.

For your safety, these recordings should only be listened to in a safe, comfortable setting, and never while driving or operating machinery.

Booking and cancellation

Sessions can be booked online at /book, or by getting in touch directly. Payment is taken at the point of booking. The cancellation policy is:

  • More than 48 hours' notice: free rescheduling.
  • Between 24 and 48 hours' notice: one complimentary reschedule available.
  • Less than 24 hours' notice: the session fee remains payable, as the appointment time has been reserved exclusively for you.
  • If I need to reschedule your appointment: I will always offer priority rebooking at the earliest available opportunity.

Programmes are paid for upfront and treated as a single piece of work. If a Programme needs to be paused or ended early, please get in touch to discuss.

Privacy and the systems I use

When you book a session or send an enquiry, I use a small number of trusted services to run the practice. Each holds only what it needs to do its job, and nothing more. No personal session content is ever stored in any booking, payment or calendar system — that material stays within our sessions and my own secure, confidential notes.

Who processes what:

  • Cal.com — the booking platform. Holds your name, email, phone, and the session type you chose. Hosted in the EU/US under standard contractual clauses.
  • Stripe — the payment processor. Holds the payment record. Card details never reach me. Hosted in the EU/UK/US under standard contractual clauses.
  • Google Calendar & Google Meet — the calendar reflection of your booking, and the video link for the session. Event titles are kept neutral; no clinical content is included. EU/US under standard contractual clauses.
  • Cloudflare — hosts this website. No personal data is stored here.
  • Formspree — the fallback contact form. Holds messages sent through the form only. Hosted in the US under standard contractual clauses.

You have the right to ask me what data is held about you, to ask for a copy, and to ask for it to be deleted — subject to the legal retention periods that apply to payment and session records. Email hello@theemilygraypractice.com and I will reply within 30 days.
